Inviting Users to Your Network

This article is intended for business or enterprise users that need to manage large independent contractor workforces. 

ShieldHub provides tools that allow business customers to invite users to their network for ShieldPulse continuous monitoring. Start building your network by inviting users.

  1. Click the Manage Network link from the left navigation sidebar

  2. Your network will appear in Shared with Me tab in the My Network pane. Displayed ShieldScores are continuously monitored against national data sources. A grayed out score may indicate a lapse in subscription or revocation of consent. You can also click the Resend Invite in the event that original email was lost or not received.

  3. Select Network Actions->Invite User from the drop down button. ShieldHub will send an invitation message to the user asking them to join your trusted network.

  4. An Invite User modal screen will appear.  You have the ability to invite users from a provided ShieldID (or ABC#). If you don't have a ShieldID, you can also invite users from an email.


New ShieldHub subscribers will be required to complete a background check before they can accept your invitation.  

Network Statuses

The Status column provides you important feedback about your current candidate's application and/or ShieldScore status.


Application Required
This status indicates that the candidate does not have a ShieldScore, and that a background check must be completed before their ShieldScore is available.
Renewal Required
This status indicates that the candidate's ShieldScore has expired and they will need to complete the renewal/purchase of a new background check before their ShieldScore is available.
Application Started
This status indicates that the candidate has started the background check process, but have not yet submitted it to the consumer reporting agency for investigation.
 In Progress
This status indicates that the candidate has submitted the application and it is currently being worked on by the consumer reporting agency.

The time an application remains in progress is usually between 2-3 days to research and report on a candidate's criminal history. Actual time can vary baed on a number of factors including county-level data availability, number of jurisdictions searched, and candidate release.
Accept & Consent
This is the final step for the candidate and requires for them to accept your invitation and consent to sharing their ShieldScore and/or other data.
Active
Indicates that the candidate's ShieldScore is active and currently being monitored.
Expired
Indicates that the background check and/or ShieldScore has expired and is no longer available. This status also occurs when a background renewal date has lapsed or the candidate has expired and revoked their network connection. 
Bounce/Rejected
This indicates that a recent email communication has been bounced or rejected from the candidates email server. This may indicate a bad/outdated email address or being reported as SPAM. 
Ignored
This indicates that the candidate has selected the IGNORE button from the invitation acceptance window. Candidates in ignore status have not consented to share their information.

Occasionally, candidates hit the ignore button out of mistake. Clicking the Resend invite option from the action button will resend the invite for acceptance. 


Communications Statuses

The ShieldHub system automatically engages candidates with invites and renewal requests. ShieldHub tracks communications in the email () column.

Invitation Sent
Indicates that an email was sent, but we have not received delivery confirmation from the candidate's email provider.

Invitation Received
The invitation icon will turn a color once we have confirmed delivery receipt with the candidate's email provider.

The number indicates that this is the first invitation that was sent. ShieldHub sends up to three (3) invitation attempts before ending.

An amber icon and #2 indicates that a second invitation was received by the candidate
3A red icon and #3 indicates that the third and final invitation was received by the candidate.
1-3Invitation Open
An open icon at any stage indicates that the email was opened by the candidate.

Bounce/Rejected
Indicates that the last communication to the vendor was bounced or rejected by the candidates email server.  This is often caused by incorrect our outdated email information.



Renewals
Renewals are automatically sent leading up to, during, and after the candidate's expiration date.

Status History

Hovering over the status window will display a small status history tooltip.  This is helpful in understanding there the candidate is in the process and what steps are next.


Done/Complete
Indicates that this step has been completed.
In Progress
Indicates the current step that is in progress.
Next Steps
Indicates outstanding/next steps in the current process.



Actions Button

The ShieldHub Action button can be access by clicking the gear button on the candidate's row.


  • Cancel Invite - Removes the candidate from the invitation queue and will be remove from your network. Once selected, the user will no longer receive network invitation emails.  Candidates can be reinvited.
  • Resend Invite - Use this option is a candidate fails to accept your invite. Resending the invite will add them to the invitation process as indicated in the invitations section above.

  • Download Report - This is enabled if the candidate has shared their background check report PDF.
  • Remove From Network - This removes a active candidates from your network. Once removed you will no longer have access to the users ShieldScore and/or data, including PDF report if previously shared.
